Terms and Conditions

1. Agreement
By creating an organisation or user account, you agree to these Terms on behalf of yourself and the organisation you register. If you do not agree, do not sign up. Our Privacy Policy explains how we handle personal information.
2. Service
Rio Recruiting is a multi-tenant recruiting workspace. During early access, organisations are enrolled on the Standard plan at no charge. We may introduce paid plans later; we will notify account org admins before charging.
3. Your responsibilities
You must provide accurate registration details, keep credentials secure, and use the service only for lawful recruiting activities. You are responsible for data you upload (candidates, documents, client information) and for complying with privacy and employment laws that apply to you.
4. Organisations and admins
The person who creates an organisation becomes its org admin and may invite other users. Deleting your account while you are the last org admin archives that organisation and cancels its plan subscription. Audit records for the organisation may be retained.
5. Data and confidentiality
We process organisation data to provide the service. Tenant data is separated by organisation. We do not sell candidate or client data. You remain the controller of personal information you submit. See our Privacy Policy for more detail.
6. Personal talent profile
Every recruiting account also includes a personal talent profile (resume, career details, and related documents tied to your user account). That profile is for you as an individual - separate from organisation candidate, prospect, and client records. You can open it from My profile in the recruiting app. Uploading a resume may use AI to draft profile fields; see section 7 and the Talent Terms and Talent Privacy Policy.
7. AI assistance
The platform may offer optional AI assists - for example drafting job ads, extracting facts from documents, scoring, insights, and reports. AI outputs are drafts only. You must review and approve them before relying on them, posting publicly, or making hiring decisions. We do not warrant that AI outputs are accurate, complete, or free from bias or error. Running an AI feature may send relevant content you provide to third-party model providers (currently Google Gemini) to generate the draft. Do not use AI features with content you are not permitted to process that way.
8. Acceptable use
Do not attempt to access other organisations’ data, probe or abuse the platform, upload malware, or use the service for spam or discriminatory hiring practices prohibited by applicable law.
9. Availability and changes
Early access is provided as-is. Features may change. We may suspend accounts that violate these Terms or threaten platform security.
10. Limitation of liability
To the maximum extent permitted by Australian law, Rio Management is not liable for indirect or consequential loss arising from use of the service (including reliance on AI drafts). Nothing in these Terms excludes rights that cannot be excluded under the Australian Consumer Law.
